Why The Role Matters:
The Event and Administrative Assistant is responsible for providing proactive, practical and efficient administrative support to UNSW Professional Education Projects & Programs (PEPP) in the delivery of industry engagement events including webinars, workshops, seminars and intensives. The role reports to UNSW Professional Education Projects & Programs Manager, supporting the Faculty of Law & Justice. The successful candidate will work on campus minimum 2 days a week and be available for flexible start and end times based on events.
Skills and Experience:
To be considered you will hold Australian Working Rights or Australian Citizenship. Visa sponsorship is not available for this appointment.
- Diploma or equivalent combination of qualifications and work experience.
- Sound organisational skills including ability to prioritise tasks and duties to meet deadlines.
- Excellent attention to detail and ability to provide effective customer service and support to clients at all levels.
- Advanced interpersonal, written and oral communication skills.
- Demonstrated capacity to work effectively in a team, preferably within a customer service environment.
- Proficient level of computer literacy with advanced skills in Microsoft Office applications. Demonstrated ability in the use and administration of online systems and databases.
- An understanding of and commitment to UNSW's aims, objectives and values in action, together with relevant policies and guidelines.
- Knowledge of health & safety (psychosocial and physical) responsibilities and commitment to attending relevant health and safety training.
Accountabilities:
- Provide administrative support for events including the arrangement of room bookings, catering, equipment, preparation of event materials, marketing posts etc through Mailchimp and LinkedIn, and marking of attendance of event participants.
- Attend events and be the point of contact for presenters and attendees.
- Provide support for online learning delivery; including set up of synchronous sessions, administrative tasks in LMSs and CRMs.
- Prepare contracts, and process payments.
- Provide straight-forward administrative/clerical support in UNSW PEPP (e.g. photocopying, accepting/arranging deliveries and couriers, mail sorting, ordering and stocking stationery etc).
- Develop and maintain filing systems, spreadsheets, databases, websites and other administrative systems.
- Provide general feedback relating to administrative guidelines, processes and activities.
- Respond to a range of in-person, telephone and email enquiries from internal and external stakeholders, and initiate, action or escalate as necessary.
- Undertake induction and new starter process for new staff and visitors including access to systems and building and site orientation.
- Participate in relevant projects and initiatives as required.
