Job Title: Office Coordinator

Contract type: Permanent, Full Time (We are open to Part Time applicants as well. Please confirm in your application your preference.)

Job Purpose

The Office Coordinator is an integral role in supporting the best-in-class office experience for BBC Studios employees and clients at our North Sydney office and edit suites. This role will span across facilities and daily office operations. The role may be required ad hoc to work on a flexible basis, occasionally out of hours and at occasional weekends, if required.

Key Responsibilities and Accountabilities

Office Management

  1. Main point of contact for all employee office related issues and queries
  2. Manage reception mailbox (email and voicemail enquiries) and post
  3. Ensure office is organised and presentable including tidying up meetings rooms, if required
  4. Be the main point of contact for visitors to the office including security access, room bookings, visitors parking and general hospitality
  5. Management of all office supplies and budget including catering for events/general office, drinks, stationery and other general office supplies
  6. Administer ordering and payment of office related costs
  7. Receive and arrange for office deliveries, couriers, FedEx etc
  8. Manage new starter packs
  9. Credit card reconciliation for office costs
  10. Maintain up-to-date office communication e.g. screens, notice boards etc

Facilities/Operations

  1. Maintenance and purchasing of office facilities and equipment within budget
  2. Participation in the business continuity team
  3. Manage building access cards including for visitors and contractors
  4. Manage car park spaces as required
  5. Attend building management meetings
  6. Manage building maintenance, including repairs, decorative upkeep, refurbishments and renovations, in conjunction with third-party suppliers and contractors

Office Health & Safety

  1. Participate in quarterly WHS Committee meetings and lead routine WHS office inspections
  2. Organise training for Fire Wardens
  3. Keep first aid kits and other emergency equipment up to date and stocked
Knowledge, Skills, Training & Experience
  1. Previous experience in similar office management role
  2. Ability to be proactive and take initiative in a global fast-paced environment
  3. Ability to influence and manage expectations with a wide range of stakeholders
  4. Ability to build relationships with internal and external stakeholders while being an ambassador of BBC Studios values
  5. Ability to champion an environment of trust, belonging and safety
  6. Experience in operations, hospitality, facilities and budget management
  7. Excellent communication and networking skills
  8. Strong organization skills with the ability to multitask projects from start to finish
  9. Strong attention to detail and ability to manage tasks efficiently and effectively
  10. Competent with Microsoft Office suite
  11. Proven experience of working with confidential information and the ability to maintain that confidentiality both internally and externally
  12. Proven flexible approach and a team player
Key Relationships

External: Vendors, building management, WHS partners and visiting clients and contractors.
Internal: HR, Technology/Operations, Communication, Team assistants across all business units, senior leaders, all employees.
