Role Overview
Gympie Regional Council has an exciting opportunity for an experienced administrator to work within our Open Space Maintenance Team offering administration support. This opportunity is a full-time fixed term position for approx. 12 months.
This position supports Council's direction by undertaking a range of tasks including providing accurate and efficient administration, project management support, and technical support to the Open Space Maintenance Team.
To provide high quality customer service both internal and external as an integral part of the delivery of the Open Space Maintenance program. Be the main contact for any 'Park Bookings' for the community for park use or events. Provide support to deliver community engagement processes associated with the delivery of projects. Manage all Open Space customer requests.
- Demonstrated experience in providing administrative and project support, including a strong understanding of the workflow/processes associated with the delivery of projects, including stakeholder engagement, procurement, and record keeping.
- Demonstrated ability to manage time effectively and organize workloads to meet deadlines associated with supporting the delivery of an endorsed program of work.
- Demonstrated interpersonal, oral, and written communication skills. Ability to be tactful and confidential when dealing with matters of a sensitive nature.
- Demonstrated ability to work effectively as part of a multidisciplinary team, as well as the skill to work autonomously as required.
- Well-developed written and oral communication skills to facilitate effective information sharing, community engagement processes, and associated written documentation.
- Sound understanding of records management requirements and land information systems.
- Queensland 'C' Class driver's licence or above that is current and maintained.
- Deliver timely and accurate administration functions to meet the business needs of the Open Space Maintenance Team. This includes word processing, data entry, correspondence, and record keeping.
- Provide effective, efficient, responsive, and positive customer service for the team. Manage all Open Space customer requests.
- Be the Council contact for 'Park Bookings' from community groups, events, or sporting organisations wishing to book a Park for a specific community event or sport use. Be the liaison to ensure all Council requirements are met and the customer receives the information required.
- Update "Parks Booking" register and alert parks maintenance teams and other appropriate sections of Council of upcoming bookings.
- Develop and maintain positive relationships with internal and external customers through friendly, can-do communications and effective stakeholder engagement.
- Produce and process purchase orders, invoicing, financial information, correspondence, and reports associated with the Open Space Program.
- Provide administrative support for the Coordinator Open Space Maintenance to produce reports, presentations, and information required by Council or Manager.
- Provide any updates to ensure all teams' devices are accurately recording information.
- Support and promote a positive and cooperative team environment, which fosters creative problem solving. Be the front desk face for the Open Space Section.
- Lead process improvement projects and champion systems improvements for the team.
