The Role
Reporting to the Philanthropy and Foundation Manager, this role acts as a central point of administrative contact for the Philanthropy team and is responsible for providing timely and trusted administrative support for Caulfield Grammar School's advancement, donor relations, major gifts, campaign, annual giving, bequest and stewardship programs.
This is a 2-year fixed-term position, offering part-time hours at 3 days per week. The days are flexible, but the role requires onsite presence and is based at the Caulfield Campus with some regular travel to other campuses as required. Occasionally, evening work may be required 1-2 times per term.
Key Duties
- Act as the primary administrative contact for the Philanthropy Team, providing support across donor relations, major gifts, campaigns, annual giving, bequests, and stewardship programs.
- Process gifts and donations, maintain donor records (including pledge reminders), and liaise with the Finance Team as needed.
- Conduct research on prospects to inform fundraising strategies and maintain accurate records in the CGS database for reporting and analysis.
- Prepare data, merge communications (letters/emails), and produce reports for the School Council, Foundation Board, and publications.
- Manage the annual donor recognition list and support fundraising events.
- Ensure the efficient operation of the team through administrative tasks, communication, and collaboration to meet collective goals.
- Model and live the Caulfield Grammar School values and behaviours.
Skills and Experience
- Experience supporting philanthropic/major gift programs and delivering timely and successful outcomes, preferably in an educational environment.
- Excellent IT skills in Microsoft Office Suite, particularly Word, PowerPoint, Excel, and Power BI.
- Experience working with databases, including but not limited to completing data entry tasks, extracting information, and creating reports.
- Experience working in an administrative or development/fundraising environment will be highly regarded.
- Strong written and verbal communication skills to engage with and build relationships with internal and external stakeholders.
- Excellent organisational, event management, and project management skills.
- Knowledge of, and experience in, the education sector will be highly regarded.
- Relevant tertiary qualifications and/or experience and current Victorian driver's licence.
- Hold or willing to obtain an Employment Working With Children Check.
