Job Description Summary:

The Pre-Health Advising Program Director supports students and recent alumni interested in graduate studies in the healthcare professions and medical schools. The position serves as the primary advisor who assists students with questions related to curriculum, course selection, professionally related extracurricular opportunities, and the selection of graduate schools, as well as application requirements and procedures for graduate admission. This position assumes primary responsibility for establishing resources, organization, and planning of any events related to the Health Professions and takes a lead role in communication with current students, alumni, related faculty and other advisors.The position is responsible for tracking students and analyzing data trends regarding the population. The role oversees the preparation and submission of Pre-Health Professions Committee letters of evaluation. This position is a full-time 12-month administrative appointment. The position reports to the Vice Provost of Undergraduate Education and Student Success with secondary reporting to the Deans of the Schmid College of Science and Technology and the Crean College of Health and Behavioral Sciences. The position will be expected to maintain an on-campus presence two days per week in Schmid College and two days per week in Crean College. The position will closely interface with the faculty chairperson for the Pre-Health Professions Committee.

Responsibilities:

  • Serve as knowledgeable and skilled health professions advisor. Develop and maintain mastery with curricula and with admission requirements of health professions programs (MD, DO, DDS/DMD, DVM, OD, PharmD, DPT, OT, PA, and nursing). Support undergraduate students as they explore majors and opportunities and make referrals to other advisors and resources as appropriate.
  • Work closely with academic departments to understand the curricula and the most effective ways to support students enrolled in their courses and to ensure students are progressing and enrolling in the correct courses. Collaborate with department chairs and college-based career services to ensure that students obtain the necessary research and internship opportunities, and pre-application experiential hours to become successful applicants.
  • Work closely with faculty members on the Pre-Health Professions Committee (PHPC), particularly the chairperson and administrative assistant, to develop and maintain effective policies and procedures to support students and alumni as they move through their academic careers and the graduate/professional school application process.
  • Collaborate with colleagues across campus to develop pre-health professions advising initiatives, workshops, and services. Support the university's ongoing efforts to retain students as they persist through to graduation.
  • Gather information on program admission requirements by attending professional meetings and visiting health profession schools. For health professional programs at Chapman University, annual meetings with department chairs to review admission requirements is expected. Visit medical schools to meet with admissions deans to improve their understanding of Chapman University.
  • Engage in professional development as a member of the National Association of Advisors of Health Professions (NAAHP) and Western Association of Advisors for Health Professions (WAAHP) to maintain currency in the field.
  • Maintain pre-professional listservs, event calendars, Canvas site, and website content.
  • Develop and cultivate relationships with healthcare and community service agencies. Coordinate opportunities with the Career Development Center and with the college level career services personnel to promote and strengthen health-related career exploration and career-related experiences for students.
  • Work with the faculty advisors for pre-health programs: AMSA, Pre-Dental Society, Delta Epsilon Mu Pre-Health Fraternity, Pre-PA, Pre-DPT, etc.
  • Advise students and recent alumni regarding the application process, personal statements and interview preparation. Facilitate MCAT and GRE review sessions.
  • Coordinate the collection of student dossiers to facilitate the letters of evaluation process. Provide summaries and information to the PHPC for their interviews with students. Draft committee letters of recommendation for students/alumni applying to medical schools, schools of osteopathy, schools of dentistry, schools of optometry, nursing schools, etc. based on extensive input from faculty evaluators and the PHPC.
  • Monitor student progress leading up to and including the application process; assist with compilation and dissemination of letter packets.
  • Maintain accurate and confidential student records and data for reporting applicant outcomes and assessment. Coordinate organization with the PHPC administrative assistant.
  • Communicate effectively with faculty, advisors, staff, students, and administrators. Advocate on behalf of the Pre-Health Professions student cohort to university committees, such as the UAC and Admissions.
  • Seek and apply for funding and grant opportunities.
  • Represent and inform prospective students and families about pre-health professional advising and outcomes. Attend prospective student events hosted by the Office of Admissions.
  • Develop mechanisms to track student on-going progress and activity to effectively create reports as needed.
  • Perform other duties as assigned.

Required Qualifications:

  • Master's degree with at least 10 years' experience required
  • Demonstrated experience implementing national trends and best practices relating to pre-health professions advising
  • Excellent oral and written communication skills
